Voting Portal - Privacy Policy

The Association of Trade and Commerce and/or our authorised agent(s) (“ATC”, “we”, “our”, or “us”) are committed to protecting the personal data of individuals who participate in our voting activities. This Privacy Policy explains how personal data is collected, used, disclosed, and safeguarded in relation to the voting portal.

  1. Collection of Personal Data
    When you participate in the voting process, we may collect the following personal data:
    - Mobile number (for verification and voting integrity purposes)
    - Voting activty information (such as the enterprise voted for and date/time of vote)
    - Technical information such as IP address, browser type, and device information (for security and audit purposes)
    Personal data is collected as and when reasonably necessary to administer the voting process fairly and securely.
  2. Purpose of Collection and Use
    Your personal data is collected and used for the following purpose:
    - To verify voter identity and eligibility
    - To administer, process, and record votes
    - To prevent duplicate, fraudulent, or invalid voting
    - To maintain the integrity and credibility of the voting process
    - To comply with applicable legal and regulatory requirements
    - To respond to enquiries, feedback, or disputes relating to voting
    Your Personal Data submitted through the voting portal will not be used for marketing or promotional purposes.
  3. Disclosure of Personal Data
    ATC do not sell, rent or trade personal data. Personal Data may be disclosed only in the following circumstances:
    - Where required by law, regulation, or a lawful request by a public authority
    - For audit, investigation, or dispute resolution relating to the voting process

    We implement reasonable administrative, technical and physical safeguards to protect personal data against unauthorised access, collection, use, disclosure, copying, modification, disposal and/or similar risks. Measures include but is not limited to:
    - Secure serve infrastructure
    - Access control and authentical mechanisms
    - Database-level controls to prevent duplicates and/or unauthorised voting
  5. Retention of Personal Data
    Personal data collected for voting purposes will be retained only for as long as necessary to fulfil the purposes outlined in this policy, or as required by applicable laws, audit, or governance requirements. Thereafter, data will be securely disposed of or anonymised.
  6. Accuracy of Personal Data
    Where reasonably possible, ATC relies on individuals to ensure that the personal data provided is accurate and complete. Voting records are logged based on verified mobile numbers at the point of submission.
  7. Consent of Collection and Use of Personal Data
    By requesting for a One-Time Password (OTP) to access the voting portal and participating in the voting process, you acknowledge and consent to the collection, use, and disclosure of your personal data as described in this Privacy Policy.
  8. Revision(s) to this Privacy Policy
    ATC reserves the right to amend this Privacy Policy from time to time. Any changes will be published on the voting portal and will take effect from the date of publication.
